One Melbourne–Sydney job
A carrier books a general-freight job from Melbourne to Sydney. The consignment names the customer, the pickup, the delivery and the agreed rate. The driver delivers and the office receives a photo of the signed delivery docket. Until that photo sits on the job, accounts cannot tell whether this docket belongs to Tuesday’s Sydney job or to another load in the same inbox.
- Open the job before the truck leaves.
- Keep the consignment or booking on that job.
- When the POD photo arrives, attach it to the same job. Do not leave the only copy in a group message.
- A person in the office checks the file before anyone creates an invoice.
- If the docket is missing a signature, a date or the delivery address, mark the job incomplete and ask the driver while the trip is still easy to remember.
- When the file is complete, hand that job to invoicing. Follow up with the customer from the job, not from a separate spreadsheet of “PODs we think we have.”
What “complete” means before invoicing
- The POD is attached to the job it belongs to.
- The delivery location and date on the docket match the job.
- A signature or the customer’s receiving note is readable. If it is not, the job stays in review.
- Reference numbers the customer asked for are on the job.
- Damage, shortages or waiting time are noted on the job if they change the invoice.

Checklist before the invoice goes out
- Job number, customer and lane match the consignment.
- POD file opens and the signature or receiving note is readable.
- Missing pages are chased before the invoice, not after the customer rejects it.
- The person who bills has the same job open as the person who checked the POD.
- The customer follow-up names the job, not “the photo from last week.”
